During tax season, accountants trade a lot of emails and documents with clients, so it should always be clear who’s who. A clean signature with your credentials, license number and firm details looks professional and helps clients reach you quickly. This classic template keeps things calm and easy to read.

Tips

  1. List your credentials clearly in the title line (for example, “CPA, Tax Manager”), since clients and agencies often recognize you by them.
  2. Rules on using titles like CPA and showing license numbers vary by state board. Check your board’s guidance before adding them.
  3. Staff without a license can use the same template. Leave their license cell empty and that line is hidden automatically.
  4. If you ask clients for IDs or bank details, tell them which secure channel to use instead of plain email, and review the data protection rules that apply to your firm.

Frequently asked questions

Should I show my license number in my signature?

Many accountants add it to build trust. Whether it’s expected, and how it should be shown, depends on your state board or professional body, so check with them.

Is our client or staff list uploaded anywhere?

No. Your Excel or CSV file is processed only in your browser and never sent to a server. The signatures and setup pages are generated on your own computer.
