Doctor email signature template

When patients and colleagues email you, your signature can point them to the right next step. Showing your specialty, practice and an online booking link means patients can schedule a visit instead of playing phone tag with the front desk. This side-panel template keeps everything tidy and puts the appointment link front and center.

Tips

  1. Put both your credentials and your specialty in the title line (for example, “MD, Cardiology”) so patients know they’ve reached the right physician.
  2. Point the appointment link to your practice’s official booking page and test it regularly. A broken link turns the most visible line in your signature into a dead end.
  3. Email isn’t always the right channel for health information. Agree with your practice on how results and other sensitive details are shared, and check the privacy rules that apply where you work.
  4. Locum or part-time physicians without their own booking page can leave that cell empty; the line is hidden automatically and the rest of the signature moves up.

Frequently asked questions

Can every doctor at our clinic use the same design?

Yes. Set up the template once and upload your physician list as Excel or CSV. Each doctor gets their own HTML and PNG signature plus a setup page with steps for Gmail, Outlook and Apple Mail.

Should I add my license or registration number?

That depends on your country and your employer’s policy. If you need it, you can add it to the title line; your hospital or professional body can tell you whether it’s expected.
