Professor email signature template

Students, reviewers and collaborators often know you only through your emails. When your title, department, office and ORCID iD are in your signature, they can find your work and your door without asking. This minimal template skips the logo and keeps the focus on clear, academic information.

Tips

  1. Add your ORCID iD as a full link starting with https://orcid.org/ so readers can open your publication record in one click.
  2. Use the office line for your building and room number. If you add office hours, keep them short and update them each semester.
  3. Write titles and departments the same way for everyone (for example, “Associate Professor, Department of Physics”). A shared Excel list keeps the whole department consistent.
  4. Graduate students or staff without an ORCID iD can leave that cell empty; the line is hidden and the details below move up.

Frequently asked questions

How should I display my ORCID iD?

ORCID recommends showing your iD as a full URL, for example https://orcid.org/0000-0000-0000-0000. Just paste that link into the ORCID line of the template.

What if my university has its own signature guidelines?

Check your institution’s brand guide first. You can adjust colors, fonts and other details in the template to match, and the minimal layout fits most university styles.
