Real estate agent email signature template

Buyers and sellers often meet you for the first time through a listing email, so your signature has to build trust fast. With your license number, brokerage, office address and social profiles in one place, people can look you up and browse your listings in seconds. This top-banner template puts your brokerage logo up front, so it stands out next to your property photos.

Tips

  1. Many states and brokerages have rules about what must appear in agent advertising, which can include emails. Check your state’s real estate commission and your broker’s policy for what to show.
  2. Link the Instagram icon to the account where you post listings and open houses. If it’s your personal account, make sure your business posts are easy to find.
  3. Always include a mobile number, since real estate clients usually prefer to call. Team members without one can leave the cell empty and that line simply disappears.
  4. For multi-office brokerages, add each office’s address as a column in your Excel list so every agent’s signature shows their own branch.

Frequently asked questions

What if some agents don’t use Instagram or LinkedIn?

Leave those cells empty in your spreadsheet. Empty icons and lines are left out of the signature automatically, and the remaining details move up without breaking the design.

Can I use the signature in listing emails?

Yes. Once you add the HTML signature to Gmail, Outlook or Apple Mail, it appears on every email you send. You also get a PNG version for places that don’t support HTML.
